Adding Staff Accounts

Use Staff to invite employees or managers into your Storepass account so they can work in the areas they need, such as Point of Sale, Buylist, Search, product setup, or account tasks.

Staff are managed from Account > Staff. You can invite one or more email addresses, review active users, assign a location for multi-location stores, and adjust each user's Storepass permissions after they appear in the list.

  • Add one or more staff members by email.
  • Connect an existing Storepass user to your store.
  • Send a new user a signup link tied to your store.
  • Review or change feature permissions for staff members.
  • Remove a user's access when they should no longer work in the store.

Before starting

  1. Sign in to Storepass and open Account > Staff.
  2. Confirm the email address for each staff member you want to add.
  3. Decide which Storepass areas each staff member should be able to use after their account is active.
  4. If your store has multiple locations, decide which location should be assigned to each staff member.
To change staff permissions, change staff locations, or remove a user from the store, your account needs the Admin permission.

Add staff

  1. Go to Account > Staff.
  2. Click Add User.
  3. Enter one or more email addresses. Separate multiple addresses with commas.
  4. Click Send Invites.
  5. Wait for the success message before closing the window.
Existing Storepass users are connected to your store and receive an activation email. New users receive a signup email for your store and may not appear in the staff list until they create their account.

Configure permissions

After a user appears in the staff list, use Edit Permissions to choose which Storepass areas they can access. The permission list only shows options that are available for your store.

  1. Find the staff member in the table. Use Search by email if the list is long.
  2. Click Edit Permissions.
  3. Check the permissions the user should have and clear the permissions they should not have.
  4. Click Save.
  • Admin: Lets the user manage staff permissions and other admin-level account tasks.
  • Billing: Gives access to billing-related account tools.
  • Card import: Gives access to card and product import workflows.
  • Buylist: Gives access to buylist workflows.
  • Retailer price compare: Gives access to price comparison and price review workflows.
  • Scan: Gives access to scanner-based workflows.
  • CSV, Point of Sale, Credit, Orders, Search, and Kiosk: These appear when they are available for your store tier or enabled store setup.
Only grant Admin to staff who should be able to manage other staff accounts or sensitive account settings.

Manage locations and access

  1. For multi-location stores, use the Location dropdown next to a staff member to choose their assigned location.
  2. Click Save after changing a staff member's location.
  3. To remove a user from the store, click Clear Store Admin and confirm the change.
Clear Store Admin disconnects the user from this store. Use it only when the user should no longer have access to the store in Storepass.

Review

  1. Refresh Account > Staff and confirm the user appears with the expected email address.
  2. Check whether the user has the expected permissions and location.
  3. Ask new staff members to check their email and finish signup from the invite link.
  4. Ask existing Storepass users to open Storepass after they receive the activation email.

After inviting staff

  • User cannot find the invite: Ask them to check spam or junk folders, then resend the invite if needed.
  • Email validation error: Check for missing @ symbols, extra spaces, or commas inside an address.
  • User cannot access a feature: Reopen Edit Permissions, confirm the permission is enabled, then have the user reload Storepass or sign out and back in.
  • User should no longer have access: Use Clear Store Admin from the staff table.
