Price Approval System

Created: 9/10/2024 | Last updated: 6/11/2026

The Price Approval System holds generated retail price changes for review when they exceed your approval thresholds. This gives you a chance to approve, ignore, manually edit, or lock large changes before they go live.

Use price approvals when you want automated pricing to run, but you do not want unusually large price changes to apply without a person checking them first.

Before starting

  • Thresholds work together: Storepass holds a change only when both the percent threshold and the dollar threshold are exceeded.
  • Zero generated prices are ignored: Storepass does not create a normal approval for a generated price of zero.
  • Increases can be allowed: Auto Approve Price Increases lets increases bypass the queue while decreases still follow the thresholds.

Configure approvals

  1. Open Retail Rules.
  2. Find the Price Approval Requirements panel.
  3. Check Enable Price Approvals.
  4. Enter a Percent Threshold. For example, 30 means a change must be more than 30% before it can be held.
  5. Enter a Price Change Threshold. For example, 5 means a change must be more than $5 before it can be held.
  6. Choose whether to enable Auto Approve Price Increases.
  7. Click Save.

Review pending approvals

  1. Open Products.
  2. Click Needs Price Approval when it appears, or open the approval queue.
  3. Review the product, source prices, current price, proposed price, and stock.
  4. Use the action menu on each row to choose what happens next.

Use approval actions

  • Approve: Applies the proposed generated price to that listing and clears it from the queue.
  • Ignore this change: Clears the proposed change without applying it.
  • Manual Edit: Opens a manual edit flow for a one-off correction.
  • Lock Previous Prices: Keeps the existing price by locking the product from automated pricing.
  • Approve All: Applies all pending approvals in the current filtered view.
  • Ignore all Approvals: Clears all pending approvals in the current filtered view without applying them.

After review

  1. Refresh the filtered product list after bulk approval or ignore actions finish.
  2. Spot-check a few products on your storefront or ecommerce admin.
  3. If too many normal changes are being held, raise one or both thresholds.
  4. If risky changes are getting through, lower the thresholds or turn off Auto Approve Price Increases.
If a product stays in the queue after you ignore or approve it, refresh the page and check whether another price update task generated a new proposed change.
